1. Who we are
This website is run by Inman's Electricals Ltd, a company registered in England and Wales (company number 13854218). In this policy, "we", "us" and "our" mean Inman's Electricals Ltd.
We are the data controller for the personal information described here, which means we decide how it is used and are responsible for looking after it under UK data protection law (the UK GDPR and the Data Protection Act 2018).
You can contact us about anything in this policy:
- By post: Inman's Electricals Ltd, 64 Moredon Park, Swindon, England, SN2 2LX
- By email: [email protected]
- By phone: 07769 690080
2. The information we collect
When you send an enquiry
The enquiry form on our home and contact pages asks for:
- your name and phone number
- your email address, if you choose to give it
- the type of property and your town or postcode
- a description of the work you need
Please only include what we need to understand the job. Don't send bank details, health information or anything similarly sensitive through the form.
When you contact us directly
If you phone, email or message us on social media, we keep the details you give us, such as your name, contact details and what you've asked about.
When you become a customer
If we go on to quote for or carry out work, we also keep the address of the job, quotes, invoices, payment records and the certificates we issue for the work, such as electrical installation certificates and EICRs.
When you visit the website
Like almost every website, our hosting provider records technical information about each visit, including your IP address, browser type and the pages requested. We use this to keep the site running, investigate faults and stop abuse such as repeated automated form submissions.
Pages with our enquiry form also use Google reCAPTCHA to tell real visitors apart from spam bots. This is explained in section 6.
3. How we use your information and our legal basis
UK data protection law requires us to have a lawful basis for each use of your information:
- To reply to your enquiry and prepare a quote. This is necessary to take steps you have asked for before entering into a contract, or is in our legitimate interests in responding to people who contact us.
- To carry out and certify the work you've agreed to. This is necessary to perform our contract with you.
- To keep invoices, tax records and certificates. This is necessary to comply with our legal obligations, including HMRC record-keeping and building regulations.
- To protect the website and the enquiry form from spam and abuse. This is in our legitimate interests in keeping the site secure and working.
We do not use your information for marketing, we do not sell it, and we do not make decisions about you based solely on automated processing. The only automated check is the spam protection described in section 6. If it ever stops you sending an enquiry, please call us instead.
4. Who we share it with
We only share your information with the service providers we need to run the business and this website. They act on our instructions and must keep it secure:
- SMTP2GO, which delivers enquiries from the website form to our inbox.
- Railway, which hosts this website and its server logs.
- Google, which provides the reCAPTCHA spam protection on the enquiry form.
- Our email, accounting and business software providers.
We may also share information where the law requires it, for example with HMRC, with a competent person scheme or building control body when registering notifiable electrical work, or with our insurers and professional advisers.
5. International transfers
Some of our service providers store or process information outside the UK, including in the United States and New Zealand. Where that happens, we make sure it is protected by an approved safeguard, such as a UK adequacy decision, the UK Extension to the EU-US Data Privacy Framework, or the UK International Data Transfer Agreement or Addendum.
6. Cookies and spam protection
We don't use advertising or analytics cookies, and we don't track you across other websites. The website only sets cookies that are strictly necessary for it to work:
- csrf: a security cookie that stops other websites submitting forms on your behalf.
- hamr_flash: a short-lived cookie that shows a confirmation message after you send an enquiry.
Google reCAPTCHA
Pages with the enquiry form (our home page and contact page) use Google reCAPTCHA v3. It checks, in the background, whether the form is being used by a person or an automated program. To do this, Google collects information such as your IP address, details about your browser and device, how you interact with the page, and cookies it has already set, and it may set its own cookies.
We use reCAPTCHA because it is strictly necessary to protect the enquiry form from spam and abuse, and it is in our legitimate interests to do so. It is not loaded on pages without the form. Google's use of this information is covered by the Google Privacy Policy and Google Terms of Service.
You can clear or block cookies in your browser settings. If you block the cookies or scripts reCAPTCHA needs, the enquiry form may not work, but you can still phone or email us.
7. How long we keep it
- Enquiries that don't lead to work: deleted within 12 months of our last contact with you.
- Customer records (contact details, quotes, invoices, certificates): kept for 6 years after the work is finished, to meet tax record-keeping rules and cover the period in which legal claims can be made.
- Website server logs: kept short-term, in line with our hosting provider's log retention, then deleted automatically.
8. Keeping it secure
The website is served over an encrypted connection (HTTPS). Only the people who need your information to deal with your enquiry or job can access it, and we choose service providers that apply appropriate security measures.
9. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information
- ask us to limit how we use your information
- object to us using your information on the basis of our legitimate interests
- ask us to transfer information you gave us to another organisation
Some of these rights have exceptions. For example, we cannot delete invoices we are legally required to keep. To make a request, contact us using the details in section 1. There is normally no charge, and we will respond within one month.
10. Complaints
If you're unhappy with how we've handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection:
- Online: ico.org.uk/make-a-complaint
- By phone: 0303 123 1113
11. Links to other websites
Our website links to other sites, including Google, Checkatrade, Facebook and Instagram. We are not responsible for how those sites handle your information, so please read their own privacy policies.
12. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
